Terms of Service
1. Who this agreement is with
Grizzly is a product of Datasource Corp ("Datasource," "we," "us"). These Terms govern use of Grizzly by two kinds of users:
- Organizations — camps, retreat centers, and similar programs ("Customer," "you," "your camp") that sign up for a Grizzly subscription to run registration, health records, housing, payments, and related operations.
- Individual users — staff, directors, nurses, volunteers, and parents/guardians who use Grizzly on behalf of, or as invited by, a Customer.
2. What Grizzly is (and isn't)
Grizzly is software your camp uses to manage its own operations. We do not operate camps, employ camp staff, or make decisions about who attends a camp, what medications are administered, or how incidents are handled — those decisions and responsibilities remain your camp's. We provide the tools; your camp is responsible for using them correctly and in compliance with the laws that apply to your program (including camp licensing requirements, health and safety regulations, and data protection law).
3. Accounts and access
Each person who logs in does so under their own unique credentials, scoped to a role (e.g. Tenant Admin, Director, Staff, Nurse, Parent). Logins are never shared, and access to health records is limited to people who have been granted a health-access role such as Nurse. Your camp's administrator is responsible for who gets invited, what role they're given, and removing access when someone leaves.
Accounts are not available to children under 13. All registration for a camper is done by a parent or guardian on the camper's behalf — see our Privacy Policy for how we handle children's information.
4. Payments
Registration fees, deposits, and camp bank top-ups are processed through your camp's own Stripe and/or Square account, connected via Open Authorization (OAuth). We never see or store raw card numbers — payment processors handle that directly, and we only retain payment intent and order identifiers for reconciliation. A platform fee (disclosed on our pricing page) applies to payments processed through Stripe Connect.
5. Your camp's data, your responsibility
Your camp controls the camper, family, staff, and health data entered into Grizzly. We act as a service provider processing that data on your instructions — we don't sell it, and we don't use it for purposes beyond operating and improving the service. Your camp is responsible for the accuracy of the data it enters and for obtaining any consents required to collect it (e.g. parental consent for a camper's health information).
6. Acceptable use
You agree not to:
- Use Grizzly to store or process data you don't have the right or consent to collect
- Attempt to access another tenant's data, or another user's account, without authorization
- Interfere with the security or availability of the service
- Use the platform for anything unlawful, or in a way that puts campers at risk
7. Availability and support
We aim for high availability but don't guarantee the service will be uninterrupted or error-free. Support channels and response expectations are described in your subscription tier on the pricing page.
8. Termination
Either party may terminate a subscription per the terms agreed at signup. On termination, your camp's data is retained for a reasonable transition period to allow export, then deleted, except where retention is required by law (e.g. audit log entries — see our Privacy Policy) or ongoing incident/compliance recordkeeping obligations that were already in effect.
9. Liability
[Placeholder — liability limitations, indemnification, and warranty disclaimers need to be drafted by counsel. Not filled in here since getting this wrong is worse than leaving it visibly incomplete.]
10. Governing law
These Terms are governed by the laws of the State of Wisconsin, without regard to conflict-of-law principles.
