Everything Grizzly does today

Grounded in what's actually built and running — not a roadmap. Upcoming work is tracked openly and available on request.

Registration & Family Experience

Everything a family needs to register, pay, and stay informed — self-service, no staff gate in the way.

  • Public registration links per camp and per event, plus self-service parent sign-up — no staff account setup needed
  • Multi-camper cart with group registration and group holds (reserve spots, fill in names later)
  • Family lookup for returning campers and siblings, plus duplicate-family detection and merge
  • Registration Profiles — define your own participant types per event (camper, cabin leader, adult guest), each with its own questions
  • Adult self-registration (18+) that routes each person to the right role automatically
  • Bunk-mate / friend requests captured at registration
  • Waitlists with a claim link sent when a spot opens
  • Sibling discounts, "first N registrants" discounts, and coupon codes — percent or dollar off, one event or the whole camp
  • Parent portal: campers, registrations, billing, camp bank balance, forms status, and medication history
  • Public "Find a Camp Near You" directory and an iCalendar (iCal) calendar feed for camps that opt in

Forms & Signatures

A visual form builder your office can run without us, with a record of exactly what each family signed.

  • Drag-and-drop form builder with conditional logic, rich text, images, file uploads, and signatures
  • Every submission is frozen against the form version that was signed — later edits never change a past signature
  • Public shareable forms that don’t need a login, plus per-form expiry tracking
  • Immunization records with an exemption option — never a hard block
  • Shared pick lists reused across every form

Housing & Check-In

Assign beds in minutes, not a weekend, and know exactly who is on site at any moment.

  • Drag-and-drop manual housing plus an automated solver with a configurable priority order and run history
  • Unplaced campers grouped by grade or age, with capacity and gender warnings as you drop
  • Couples housing, and group housing preferences that keep a group’s roster in as few cabins as possible — with leader rooms sized from the leader-to-camper ratio
  • Exact-timestamp check-in and check-out (required by most state camp regulations)
  • Authorized pickup list per family, with a logged director override for blocked contacts
  • Group / bus checkout with exception flagging
  • Wristbands assigned by room, with deactivate-and-replace for a lost band and a per-band transaction history
  • Live daily attendance by cabin, joined against housing and sick bay
  • Early-out and late-arrival notices: parent requests, staff confirms, timestamp auto-logged

Health, eMAR & the Nurse Portal

A dedicated clinical portal, switchable alongside any other role a person holds — every login stays uniquely attributable.

  • NURSE is granted like any other role and switched into without a second login; every read and write to health data still logs to a Health Insurance Portability and Accountability Act (HIPAA) audit table against that one real person
  • Medication check-in at arrival, with printed medication labels
  • Nurses can add a medication at camp, and family edits lock while the camper is on site
  • Medication authorization that hard-blocks administration once it expires — not a warning
  • Full electronic medication administration record (eMAR) with configurable AM/PM windows, allergy alerts, and a nurse triage screen
  • Missed-dose alerts to nursing staff, escalating to the camper’s cabin leader or group leader
  • Clinic visit log in subjective, objective, assessment, plan (SOAP) format, plus a standalone sick bay admit/discharge tracker
  • Incident reporting with a director alert clock set to your state’s reporting window, and one-click state compliance Portable Document Format (PDF) export

Compliance — Built Into Setup, Not Bolted On

Your state's day-camp and overnight-camp requirements follow automatically from how you already build an event.

  • Regulatory framework derived from your event's length and your camp's state, not a manual form
  • A "Regulations that apply to this camp" panel, driven by your state and your camp’s facilities
  • One-click compliance PDF exports — day camp, overnight camp, state incident, and American Camp Association (ACA) annual reports
  • Real-time staff-to-camper ratio monitoring that flags unstaffed rooms, with a logged director override
  • Health-staff coverage checked against who is actually checked in right now
  • Staff certification tracking (cardiopulmonary resuscitation (CPR), First Aid, lifeguarding) tied to your state’s rules, with expiry alerts
  • Camp license and permit expiry tracking on the same alert engine

Payments, Camp Bank & Point of Sale

Connect the merchant accounts you already have — Grizzly never touches raw card data.

  • Stripe Connect Open Authorization (OAuth) for online registration payments, deposits, payment plans, and refunds
  • Square Connect OAuth for in-person camp store and snack stand payments
  • Camp bank: append-only ledger, configurable per-camper max balance, director override with an audit trail
  • Leftover bank balance refunded to the original payment method at checkout
  • Signed-link bank top-up flow — parent gets an email, no login required
  • Online camp store pre-order plus a fullscreen tablet point of sale (POS) with camp bank, cash, and card checkout
  • Inventory by location with low-stock alerts
  • Family credit balances, group deposits, and group invoices emailed as PDFs
  • Accounting registers with general ledger (GL) category tagging, sales by day or week, and payout reconciliation

Groups, Scholarships & Funding

Built for churches, schools, and any group that brings a roster of campers year after year.

  • A persistent Group record per organization, reused every season, with its own discount and required add-ons (e.g. a bus fee)
  • A Group Admin login scoped to just that organization’s roster, cabin packets, and settings
  • Self-service ground use quotes: a prospective group requests one online and accepts or declines it from a link
  • Benefactor gifts: a signed, no-login link lets a third party fund one camper’s balance directly
  • Scholarship pools that assign funds to campers within a group, event, or standalone project
  • Online donations with recurring gifts, a giving thermometer, receipts, and a donor self-service page
  • Event Tracks — sub-event program or position groups with their own capacity, price, and waitlist, reusable across day-camp weeks

Staff, Training & Time

From application to cabin assignment, with background checks, training, and hours tracked per person.

  • Public staff application with open positions, document uploads, and references
  • Background checks in three modes — platform-run, externally verified, or attestation — with consent requested by link
  • A configurable onboarding workflow — approval, training, background check, and pastoral reference steps, defined per job type
  • Built-in learning management: video and quiz courses, question pools, pass thresholds, and completion certificates that can gate onboarding or check-in
  • Time & Attendance: staff clock in and out with a geofence or kiosk personal identification number (PIN), with timesheets for payroll
  • A staff "My Day" view with today’s schedule and one-tap camp contacts
  • Cabin Leader Hub — a per-event page of links, files, and instructions for your cabin leaders
  • Event staff portal scoped to a single event, with cabin-leader room scoping and access windows
  • Direct messages to staff by email (and text, once text message (SMS) is enabled)

Campground, Lodging & Facilities

For camps that also run recreational vehicle (RV) sites, rental buildings, long-term sites, or their own grounds crew.

  • Public campsite booking with find-my-site lookup, arrival check-in, and double-booking protection
  • Interactive facility map with drill-down maps, plus hotel-style lodging reservations
  • Campsite photo galleries, block-out dates, and an embeddable virtual tour
  • Lease holders: long-term site occupants with their own portal and property-tax billing
  • Boat launch and parking passes, sold from a public link or quick response (QR) code
  • Building management with capacity enforcement at event creation, star-rated rate tiers, and occupancy reporting
  • Asset registry with photos, documents, and QR codes; equipment moves; and maintenance work orders with a drag-and-drop assignment board

Keeping Families in the Loop

Parents feel close to camp without your staff writing a single manual update.

  • CampGrams — parents send messages to their camper through a staff review step
  • Photo feed: staff upload photos, parents view them one-way, private by default
  • Per-camp severe weather alerts shown across every portal
  • Event rosters and activity sign-ups, with a printable daily schedule
  • Team points for camp-wide competitions
  • Post-event survey auto-sent at checkout, with results rolled up per event

Reporting & Notifications

The reports directors actually need, and families kept in the loop without a manual email.

  • 25+ pre-built reports: rosters, contacts, pickups, check-in log, immunizations, eMAR log, incidents, payments, camp bank statements, trip manifests, cabin packets, and more
  • An ad hoc report builder with a field picker, filters, grouping, and comma-separated values (CSV)/PDF export — and the built-in reports are editable too
  • Email branded with your camp’s name, logo, and color for confirmations, receipts, missed doses, and director alerts
  • Bounce protection: an address that bounces is flagged instead of silently retried
  • CSV import for families, campers, groups, staff, buildings, campsites, and store products, with a field picker
